For multi-site customers that require transferring a child from one center to another, UpBup's CLONE feature allows parents to reuse much of the child's information when filling out forms, and simplifies the process for the administrators, since there is no need to create new records. 


Note that the Provider Admin needs access to both sites or program to use the CLONE feature. 

Please reach out to your region administrator to obtain access to additional centers within your multi-site network.



You will need to be logged in as Administrator.


1. In the Admin/Children view, select the CHILDREN dashboard tab.



2. Select the child or children you would like to add to a different site or program.

 


3. Select the CLONE button located in the menu above the list of children.


If you are only cloning one child, you can instead select the CLONE button next to the child's name. 




4.  Identify the destination site/program for the existing child(ren).


  • Select the Provider you are transferring the child to
  • Select Child Group for the destination site/program
  • Select the initial Status for the child at the new site/program
  • Select APPLY


Existing P1 and P2 information visible on the CHILDREN dashboard will be copied to the destination site.

A child can be ACTIVE in 2 programs if needed. 

If a child already exists in the destination site and provider admin clones the child while specifying a new child's status, then the status of the existing child will be changed to the new status specified in the Clone. 



5. You will see the following message. 



The ACTIVITY dashboard records and makes available for review actions taken by individual administrators in your center. For more information, see: Tracking actions with ACTIVITY dashboard.



6. Find cloned child's name as a record at the new site/program.

  • Using the Status Filter dropdown menu, Select appropriate enrollment Status.
  • You will need to request forms from the child in the destination site. Forms are not transferred from one program from another. 


REMEMBER:
A form request includes an invitation link, there is no need to INVITE a parent if you are ready to REQUEST forms from them.
